Whatuni is a trading name of Hotcourses Limited. The Whatuni app and website are owned and operated by Hotcourses Limited.

This privacy notice has been compiled to help you understand why we ask you for your personal information when you use one of our websites or mobile applications and how we will use this information.

At Whatuni we collect different types of information about our users for five main reasons:

  • 1)   To help you find courses and universities that are right for you
  • 2)   To provide personalised services unique to individual users
  • 3)   To help us monitor and improve the services we offer
  • 4)   To help us identify trends and offer anonymised sector-level insights on Higher Education and student recruitment
  • 5)   To sell advertising and institution profiles on our site. This helps keep our Whatuni services free for users

This privacy notice applies to all our website and app users whether registered or not, including people responding to surveys, competitions and writing reviews. In addition, we may ask you for your personal details at one of the Whatuni sponsored events, student fairs, etc. We will always explain the purpose of our data collection before we ask you for your personal details.

By accessing the website at https://www.whatuni.com ("Whatuni Site") and/or the Whatuni mobile application for iOS and Android ("Whatuni App") (and collectively with the Whatuni Site and Whatuni App, the "Whatuni Services"), which are provided by Hotcourses Ltd, with a trading address of Hotcourses Ltd (the "Data Controller"), 1st Floor, Bedford House, Fulham Green, 69-79 Fulham High Street, London SW6 3JW, you agree to be bounded by the terms of our Privacy notice stated below. If you do not agree to be bonded by these terms, please do not use or access our website.

Anyone under 13 years of age should not register with us. If you are under 16 years of age and want to register with Whatuni Services, you must obtain a parent or guardian's permission before registering. You may also discuss this privacy policy with them before obtaining their permission.

If you are under 16 you hereby confirm that your parent or guardian has consented to your use of Whatuni Services and to the terms in this Privacy Notice.

  •   We gather personal and non-personal data about you. "Personal Data" means any data that allows someone to identify or contact you. "Non-personal Data" means any non-identifiable information such as a user's behaviour pattern when they visit our website or mobile apps.

The following provides examples of the types of data we collect and how we may collect them:

  • Account Credentials. We may require you to provide your name, email address and password to use the Whatuni App or other Whatuni Services.
  • Profile information. We may also collect Personal Data from you, for example your address and postcode, your phone number, date of birth, your nationality and country of residence, as well as Personal Data related to your course, subject area and institution of interest, your grades or predicted grades, your current school or college, and any other information that you voluntarily add to your profile or that is generated through your use of the Whatuni Services.
  • Device information. We may collect certain software and hardware information about your Device, for example your Device ID - the ID that is unique to the device on which you install or access the Whatuni services.
  • Distance information. You will be prompted upon first registering on the Whatuni App, to opt-in for location services. Should you opt-in to location services, Whatuni App will collect your location to determine your distance from prospective universities and Higher Education institutions through GPS, Wifi and/or cellular technology in your device. This information is not stored in our database.
  • Log Files. We may collect information from you, including your browser type, operating system and Internet Protocol (IP) address. We also use cookies and URL information to gather information regarding the date and time of your visit and the information for which you searched and which you viewed (see section "How we use your information").
  • Messages. When you use our services to email a university or order a prospectus, we may retain the message for archival purposes or as otherwise allowed by the law.
  • Support. If you provide feedback or contact us for support we will collect your name and email address and possibly other Personal Data, as well as any other content that you send us in order to reply and address any issue. If you contact us for support, we may also collect and retain certain technical diagnostic data, e.g your phone model.
  • Mailing List. When you sign up for Whatuni Services, we may collect your email address to send you occasional Whatuni news and the latest information on products and services.
  • Surveys. When you participate in a survey or beta testing, we may collect additional information you provide through the survey. Unless noted otherwise, we use Typeform for surveys.
  • Third-Party Platforms. If you use or connect to the Whatuni site or Whatuni app through a third-party platform, such as Facebook, you allow us to access and/or collect certain information from your third-party platform profile, such as your name. We may also access information contained in cookies placed on your device by the third-party platform.
  • Third-Party Tracking. Our advertisers and partners may also use their own cookies or other tracking technology which may collect information about you within the Whatuni service. We do not control use of these tracking technologies. For example, one of our partners is Google Analytics, which collects information anonymously and reports trends without identifying individual users.
  • Whatuni Tracking. Whatuni also collects potentially personally-identifying information that is collected by Google Analytics. The analytics feature Whatuni has implemented is based on Display Advertising (e.g., Remarketing, Google Display Network Impression Reporting, the Doubleclick Campaign Manager integration, or Google Analytics Demographics and Interest Reporting). Visitors can opt-out of Google Analytics for Display Advertising and customer Display Network ads using Ads Settings

In this Privacy Policy, we refer to the information above and any other personally identifiable information that we may request from you and that you may provide to us as "Personal Information".

Information is gathered in two ways:

(1)  indirectly (e.g. using Whatuni Site technology or technology when you use the Whatuni App for a mobile or tablet device; and

(2)  directly (e.g. when you sign up to create a Whatuni account, or you otherwise provide your information when you interact with Whatuni Services)

1.  Improve Services. When someone visits our website or mobile app we use cookies to collect standard internet log information and details of visitor behaviour patterns.

Cookies are used to help us:

  • a)  Understand and save users' preferences for future personalised user experience and to allow us to deliver the type of content and products in which you are most interested.
  • b)  Keep track of advertisements.
  • c)  Ensure materials on the Whatuni website and Whatuni app are presented in the most effective manner for users and their computers or mobile devices.
  • d)  Compile aggregate data about site traffic and site interactions in order to offer better site experiences and tools in the future.

You can choose to have your computer warn you each time a cookie is being sent, or you can choose to turn off all cookies. You do this through your internet browser (such as Internet Explorer) settings. Each browser is a little different, so look at your browser's Help menu to learn the correct way to modify your cookies.

If you disable cookies, some features that make your site experience more efficient will be disabled and some of our services will not function properly.

2.  Communications. To send periodic emails about competitions, promotions, surveys or other Whatuni Services features (which in some cases may be provided by third parties), but only in accordance to the permissions you give us

3.  Administration. To follow up an enquiry you have made to any institutions, or chase progress on a course you are interested in.

You can make the following choices regarding your Personal Data:

Communications. You can change your communication preferences with us at any point, by logging in to our website or mobile app and updating your profile settings, or by following the instructions at the bottom of each email you receive from us. You can also update your contact details by logging in to our website. These contact details are used to respond to your enquiries, or put you in touch with the course provider you are interested in.

Device Permissions

Pust Notification and Location Services.

Android devices -    you will get a notification of the push messaging and geo-location permissions Whatuni seeks before your 1st use of the app, and your use constitutes constent.

Apple iOS device -    you will get a permission notification for push notifications and location services when you download the app for the first time. You also may opt in or out of push messaging services by going into Settings > Privacy > Location Services

Behavioural Advertising. If you are using Whatuni App on Apple iOS device, you may opt out of behavioural targeting into Settings > Privacy > Advertising > Switch on Limit Ad Tracking.

In many circumstances, we will not disclose personal data without your consent unless required by law.

Hotcourses Limited is the principle company and the Data Controller in the Hotcourses Group of companies (Hotcourses India PVT, Hotcourses Pty Ltd (Australia), Hotcourses Inc (North America) and Complete University Guide). We may share your personal information with organisations that are part of the same group as the data controller as those companies may provide services to you over our websites.).

To ensure your details are protected to the same level as in the United Kingdom, we have put agreements in place to ensure these companies comply with the Hotcourses Privacy Policy and the Data Protection Act 1998.

Another instance when we may share your personal information is when you make an enquiry to a course provider and/or download a pdf help pack or prospectus. In these circumstances, we pass on your contact details to the course provider so that they can contact you directly.

On our website and mobile app there are external links to course provider websites. This privacy notice does not cover these links. We encourage you to read the privacy statements on the other websites you visit.

We keep our privacy notice under regular review. This privacy notice was last updated on 6th November 2017.

We would like to be as transparent as possible in terms of giving you access to your personal information. You can find out if we hold any personal information by making a 'subject access request' under the Data Protection Act 1998. If we do hold information about you we will:

  • -   give you a description of it;
  • -   tell you why we are holding it;
  • -   tell you who it could be disclosed to; and
  • -   let you have a copy of the information in an intelligible format.

To make a request for any personal information we may hold you need to put the request in writing addressing it to our Data Protection Officer or, by writing to us on the below address.

If we do hold information about you, you can ask us to correct any mistakes by contacting the Data Protection Officer or by logging in to our website or mobile app and updating your information.
